Trash

The Trash page acts as a recycle bin for deleted items, allowing you to recover accidentally deleted content.

Admin Access Required

Trash management requires Tenant Owner or Admin role.

Accessing Trash

Navigate to Admin > Trash in the sidebar.

What Goes to Trash

When you delete certain items, they're moved to Trash instead of being permanently deleted:

Trash Overview

The Trash page shows:

  • All deleted items
  • When they were deleted
  • Who deleted them
  • Original location
  • Days until permanent deletion

Retention Period

Items in Trash are kept for 30 days before permanent deletion.

WARNING

After 30 days, items are automatically and permanently deleted. This cannot be undone.

Filtering Trash

By Type

Filter to see specific item types:

  • All Items
  • Assets
  • Production Files
  • Videos
  • Invoices

By Date

Filter by deletion date:

  • Last 7 days
  • Last 14 days
  • Last 30 days

Search for specific items by name.

Restoring Items

To recover a deleted item:

  1. Find the item in Trash
  2. Click the Restore button
  3. Item returns to its original location

Bulk Restore

To restore multiple items:

  1. Select items using checkboxes
  2. Click Restore Selected
  3. All selected items are restored

Where Restored Items Go

Items return to their original location:

  • Assets → Company Assets
  • Production files → Original project
  • Videos → Original project's Review Videos
  • Invoices → Original project's Invoices

Permanently Deleting Items

To remove items before the 30-day period:

  1. Find the item in Trash
  2. Click Delete Permanently
  3. Confirm deletion

DANGER

Permanent deletion cannot be undone. The item is gone forever.

Bulk Permanent Delete

  1. Select items using checkboxes
  2. Click Delete Selected Permanently
  3. Confirm deletion

Empty Trash

To permanently delete everything:

  1. Click Empty Trash
  2. Review the warning
  3. Confirm to delete all items

Best Practices

Before Deleting

  • Confirm you want to delete the item
  • Consider if anyone else needs it
  • Download a backup if important

Regular Cleanup

  • Review Trash periodically
  • Restore anything deleted by mistake
  • Permanently delete items you're sure about

Data Recovery Window

  • Act within 30 days to restore items
  • Don't rely on Trash for backups
  • Keep separate backups of critical files

What Cannot Be Recovered

Some deletions bypass Trash and are immediate:

  • User accounts (deactivated, not deleted)
  • Companies (soft delete, contact support)
  • Projects (soft delete, contact support)

Contact support for help with these items.

Storage Impact

Items in Trash still count toward your storage limit until permanently deleted or after the 30-day period.

Free Up Space

Empty Trash to reclaim storage if you're near your limit.

Common Questions

Why is my item not in Trash?

  • It may have been permanently deleted
  • It might be a type that doesn't use Trash
  • The 30-day period may have passed

Can I extend the retention period?

The 30-day period is fixed. Download important items before they expire.

Who can access Trash?

Only Tenant Owners and Admins can view and manage Trash.

Can I see who deleted an item?

Yes, the Trash shows which user deleted each item.

Troubleshooting

Can't Find Deleted Item

  1. Check the filter settings
  2. Search by item name
  3. Verify it wasn't permanently deleted
  4. Check if 30 days have passed

Restore Not Working

  1. Check the original location still exists
  2. Verify you have permission
  3. Try refreshing the page
  4. Contact support if issue persists

Storage Not Decreasing

  1. Remember Trash items count toward storage
  2. Permanently delete items to free space
  3. Wait for system to update (may take a few minutes)
