Team Management

Invite and manage team members in your MyStudio portal.

Admin Access Required

Team management requires Tenant Owner or Admin role.

Accessing Team Management

Navigate to Admin > Portal Settings and click the Team tab.

Team Overview

The Team tab shows:

  • All current team members
  • Their roles and permissions
  • Status (active, pending invitation)
  • Last activity date

Team Roles

Assign roles based on responsibilities:

Inviting Team Members

Step 1: Click Invite

Click Invite Team Member button.

Step 2: Enter Details

Provide the new member's information:

  • Email Address - Their work email
  • Role - Select from dropdown

Step 3: Send Invitation

Click Send Invite to send the email invitation.

What Happens Next

  1. Team member receives invitation email
  2. They click the link to accept
  3. They set their password
  4. They can now access the portal

Pending Invitations

Track outstanding invitations:

  • See who hasn't accepted yet
  • Check when invite was sent
  • Resend invitation if needed
  • Cancel pending invites

Resending an Invitation

If the invite email was lost:

  1. Find the pending member
  2. Click Resend
  3. New invitation email is sent

Cancelling an Invitation

If you invited the wrong person:

  1. Find the pending invite
  2. Click Cancel
  3. Invitation link becomes invalid

Managing Existing Members

Changing Roles

To update someone's role:

  1. Click on the team member
  2. Select new role from dropdown
  3. Save changes

Role changes take effect immediately.

Removing Team Members

To remove access:

  1. Find the team member
  2. Click Remove
  3. Confirm removal

WARNING

Removed members immediately lose access. Their work history is preserved but they cannot log in.

  • Upload review videos
  • Manage video versions
  • Add production files
  • View assigned projects
  • Respond to comments

Accounts

  • View all projects (financial info)
  • Create and manage invoices
  • Track payments
  • View quotes
  • Generate financial reports

Best Practices

Assign Appropriate Roles

  • Start with minimal permissions
  • Upgrade roles as needed
  • Review permissions periodically

Keep Team Updated

  • Remove ex-employees promptly
  • Update roles when responsibilities change
  • Audit team list quarterly

  • Encourage strong passwords
  • Consider requiring 2FA

Can someone have multiple roles?

Currently, each team member has one role. Choose the role that best fits their primary responsibilities.

What if I need custom permissions?

The built-in roles cover most scenarios. Contact support for special requirements.

Can team members see each other's work?

Yes, team members can see all projects and collaborate. Use internal comments for private discussions.

How do I transfer ownership?

Contact support to transfer portal ownership to another admin.

Troubleshooting

Invitation Not Received

  1. Check spam/junk folder
  2. Verify email address is correct
  3. Resend the invitation
  4. Contact support if still failing

Can't Remove Team Member

  1. Check your admin permissions
  2. Try refreshing the page
  3. Contact support if issue persists

Role Changes Not Working

  1. Save changes and refresh
  2. Have user log out and back in
  3. Check your admin permissions
