Subscription Management

Manage your MyStudio subscription, view usage limits, and configure billing options.

Admin Access Required

Subscription management requires Tenant Owner or Admin role.

Accessing Subscription Settings

Navigate to Admin > Subscription in the sidebar.

Subscription Tiers

MyStudio offers four subscription tiers:

Current Usage

The subscription page shows your current usage with progress bars:

Usage Metrics

  • Clients - Active client companies
  • Team Members - Staff users in your portal
  • Projects - Active and completed projects
  • Storage - Files, assets, and videos stored
  • Video Reviews - Review videos uploaded

When approaching limits, you'll see warnings to help you plan ahead.

Billing Interval

Choose your billing frequency:

Monthly Billing

  • Pay each month
  • More flexibility
  • Cancel anytime

Annual Billing

  • Pay once per year
  • Save up to 20%
  • Locked-in pricing

Toggle between monthly and annual on the subscription page to see pricing differences.

Changing Your Plan

Upgrading

  1. Click Upgrade Plan
  2. Select your new tier
  3. Review pricing and features
  4. Confirm upgrade

What happens on upgrade:

  • New features available immediately
  • Prorated billing for the current period
  • Higher limits take effect instantly

Downgrading

  1. Click Change Plan
  2. Select a lower tier
  3. Review what you'll lose
  4. Confirm downgrade

Before Downgrading

Ensure your current usage fits within the new plan's limits. You may need to reduce clients, team members, or storage first.

What happens on downgrade:

  • Takes effect at next billing cycle
  • Keep current features until then
  • Receive confirmation email

Storage Add-ons

If you need more storage without upgrading:

  1. Click Add Storage
  2. Select additional GB (10GB, 50GB, 100GB)
  3. Review pricing
  4. Confirm purchase

Add-ons are billed monthly and can be removed anytime.

Managing Billing

Payment Methods

  1. Click Manage Billing
  2. Opens Stripe billing portal
  3. Update card or payment method
  4. View payment history

Invoices

  • Download PDF invoices
  • View past payments
  • Update billing address

Billing Contact

Configure where invoices are sent:

  1. Go to Portal Settings > General
  2. Update Billing Email

Cancelling Your Subscription

If you need to cancel:

  1. Click Cancel Subscription
  2. Tell us why (helps us improve)
  3. Review what happens after cancellation
  4. Confirm cancellation

What Happens After Cancellation

  • Continue using until period end
  • Data preserved for 30 days
  • Can reactivate within grace period
  • After 30 days, data may be deleted

Reactivating

If you cancelled but want to come back:

  1. Return to Subscription page
  2. Click Reactivate
  3. Choose a plan
  4. Resume where you left off

Early Adopter Pricing

Early adopters may have access to special lifetime pricing:

  • Locked-in rates
  • Grandfathered features
  • Special terms

Check your subscription page for early adopter status.

Subscription Status

Your subscription can be in these states:

Common Questions

When do usage limits reset?

Limits are concurrent, not monthly. You can have up to X clients at any time, not X new clients per month.

Can I get a refund?

Contact support within 7 days of purchase for refund requests.

What happens if I exceed limits?

You'll see warnings before reaching limits. Some features may be restricted until you upgrade or reduce usage.

Is there a free trial?

The Free tier lets you try MyStudio with limited features. Upgrade when ready.

Can I switch from monthly to annual?

Yes! Switch anytime from the subscription page. Annual billing saves you money.
